Invoice PDFs that look like your company: Nefin's template editor

Nefin Team5 min read

Clients may never log into your accounting software, but they read every invoice you send. Nefin's PDF templates let you decide what that page looks like: the layout, the colours, what prints under your company name and the wording of every heading.

You don't need to export a test PDF to check a change. The editor sits next to a live preview of a sample invoice, filled in with your company's name, logo, address and bank details, and the preview updates as you go.

Animation: a PDF template is edited and the invoice preview updates with every change.

  1. The accent colour is switched from green to blue; the invoice title, table rule and total recolour in the preview.
  2. Show Company Website and then Show Company Phone are switched off, and each drops out of the contact line under the company address.
  3. Show Company Fields is switched off and the registration number line disappears; the phone is switched back on.
  4. The "Generated by nefin.app" footer is switched off.
  5. The invoice title is renamed to Faturë, and the template is saved for every PDF that uses it.
Every click in the editor shows up in the preview: colour, what's printed under your name, and the wording.

Start from a layout

Open Settings → Templates and import one of the three base layouts: Classic, Modern (a coloured header band) or Minimal. Give it a name and you're in the editor. You can keep as many templates as you like, clone one to try a variation, and set one as the company default.

Colours and type

Set the accent colour used for the document title, table rule and totals, plus the text colours and the header background on Modern. Sizes for the company name, document title and table text are sliders. With no accent colour of its own, a template uses your company's brand colour.

Choose what prints under your name

Under the company name, a template can print your address, then a contact line with your phone, email and website, then the company fields you've marked for PDFs (a registration or VAT number, for example). Each one has its own switch under Layout & Visibility:

SwitchWhat it prints
Show LogoYour company logo next to its name
Show Company Phone / Email / WebsiteEach value on the contact line under your address, from Settings → Company
Show Company FieldsThe custom fields with "PDF" ticked in Settings → Custom Fields
Show FooterYour own footer text at the bottom of each page
Show "Generated by nefin.app"The small credit line in the footer

Your wording, in your client's language

Every label on the PDF can be renamed, from the title ("Invoice" becomes "Faturë") to the column headings, totals and payment details heading. Because the PDF is read by your client and not by you, labels belong to the template, not to your interface language. Untick a label and its whole field drops off the PDF: no VAT rate column if you don't charge VAT, or no due date if you don't use one.

Bank details and a stamp per template

  • Bank details: a template can print its own payment details, so one company can bill through a different account per template. Leave them blank to use the company's.
  • Stamp and signature: upload one image with your stamp and/or signature, and drag it on the preview to place and size it. A stamp added to a single document takes precedence.

Which template a document uses

Each client can have its own template, chosen on the client's record, so a foreign client gets English labels and a local one gets Albanian. Invoices to a client without one use the company's default template. Saving a template applies to every PDF generated with it afterwards.

Make your next invoice look like yours

Import a layout, switch on what you want printed, and watch the preview follow along.
